Thank you for considering Alison Marie Photography for your league's photo day. My goal is to provide an organized, stress-free experience for athletes, families, coaches, and league administrators while creating images everyone will be proud of.
To ensure a successful photo day, the following information and cooperation are required prior to the event.
COMMUNICATION
A primary point of contact must be designated for all photo day communication.This person should be available to answer questions and provide updates before and during photo day. Prompt communication helps prevent scheduling issues, delays, and confusion for families.
INFORMATION REQUIRED BEFORE PHOTO DAY
The following information must be provided no later than 30 days before the scheduled photo day:
Total number of teams
Estimated number of athletes per team
Team names and divisions
Photo location details
Any league-specific requirements or requests
TEAM SCHEDULE & PARTICIPATION
A photo schedule must be established and shared with coaches and families prior to photo day. I can help create a photo day schedule if needed. The league is responsible for communicating photo times to coaches and participants. While I work hard to accommodate everyone, I cannot guarantee photos for athletes who arrive late, miss their scheduled time, or who were not informed of the schedule.
DAY-OF-SUPPORT
To keep photo day running smoothly, the league should provide: A volunteer or coordinator to assist with organizing teams, Coaches available to help gather players, a designated waiting area for teams, and timely communication regarding schedule changes. Having league support on-site allows photo sessions to stay on schedule and helps ensure every athlete is photographed efficiently.
WEATHER & SCHEDULE CHANGES
Photo Day is a rain or shine event. A covered location is required to prevent cancellation due to weather. If league circumstances require changes, communication should occur as early as possible. Last-minute changes may affect the ability to accommodate all teams within the available timeframe.
BOOKING CONFIRMATION
To ensure a successful photo day, all leagues must complete a League Photo Day Planning Form prior to final booking confirmation. Photo day is considered officially booked once the service agreement has been signed and the League Photo Day Planning Form has been completed and submitted.
The planning form provides essential information needed to prepare staffing, scheduling, equipment, ordering systems, and photo day logistics.
Final roster counts and schedule updates should be provided no later than 14 days prior to photo day. Failure to provide required planning information may result in rescheduling or cancellation at the photographer's discretion.
